Project Assistant – Building Sciences (Full-Time)

We’re seeking a motivated, detail-oriented Project Assistant to support our Building Sciences team. About the Role

The Project Assistant plays a key role in supporting Project Managers and field teams by coordinating administrative and project-related tasks. This position is highly visible internally and externally and requires professionalism, strong communication skills, and the ability to manage multiple priorities.

You’ll be involved in everything from proposal coordination and project setup to client communication and report organization, making you an essential part of keeping projects running smoothly.

What You’ll Do

  • Serve as a point of contact for clients, vendors, and internal teams
  • Assist with proposal preparation and project setup
  • Enter and maintain project data in internal systems (e.g., Deltek Vision)
  • Prepare reports, templates, and documentation for project teams
  • Track project budgets, receipts, and status updates
  • Coordinate project logistics (including scheduling, shipping, and sample handling)
  • Organize and maintain electronic and hard copy project files
  • Support Project Managers, Practice Leads, and operations staff
  • Assist with weekly project tracking and status meetings
  • Ensure all project documentation is complete, accurate, and properly filed

What We’re Looking For

  • High school diploma required; college degree preferred (Environmental Science, Industrial Hygiene, Engineering, or related field is a plus)
  • 1–2+ years of experience in an administrative or professional office setting (preferred)
  • Strong organizational skills and attention to detail
  • Ability to manage multiple tasks and meet deadlines
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office (Word, Excel, Outlook)
  • Comfortable working in a fast-paced, team-oriented environment
  • Self-starter with a proactive and problem-solving mindset
