THE OPPORTUNITY
Citadel EHS is seeking a full-time Project Assistant to support our Industrial Hygiene & Safety (IH&S) team. This role blends project coordination, technical and administrative support, equipment management, and occasional field support. WHAT YOU’LL DO
- Support Project Managers and consulting staff with day-to-day project and administrative needs.
- Set up and maintain opportunities, proposals, projects, budgets, and project records in Deltek Vision.
- Prepare proposal templates, establish proposal numbers, create project folders, and organize supporting documents.
- Assist with project scopes, report templates, field paperwork, travel arrangements, receipts, and project correspondence.
- Confirm that contracts, authorizations, and purchase orders are signed and properly saved in Deltek and Citadel Connect.
- Retrieve and review field paperwork and subconsultant documents for completeness, following up when information is missing.
- Download and enter data, generate reports, and assist with technical report preparation.
- Coordinate sample pick-up and drop-off with laboratories and arrange field equipment rentals.
- Track IH&S equipment inventory and help ensure equipment is calibrated, maintained, and ready for use.
- Communicate project status, completed tasks, and potential delays to Project Managers in a timely manner.
- Provide occasional office, phone, shipping, delivery, and company-wide health and safety program support.
- Gain exposure to field activities and work toward supporting duties associated with the consulting technician role.
WHAT WE’RE LOOKING FOR
- Bachelor’s degree, or progress toward a degree, preferably in occupational health and safety, industrial hygiene, environmental science, environmental engineering, or a related field.
- Strong organizational and time-management skills with close attention to detail.
- Clear written and verbal communication skills and the ability to follow up professionally with coworkers, clients, laboratories, and vendors.
- Proficiency with Microsoft Office, including Outlook, Word, PowerPoint, and Excel; experience with Deltek Vision is a plus.
- Ability to manage multiple priorities, meet deadlines, and work both independently and as part of a team.
- Interest in industrial hygiene, safety, scientific concepts, and environmental health and safety regulations.
- Reliable transportation and the ability to travel locally throughout Southern California.
PHYSICAL REQUIREMENTS
- Ability to lift and handle equipment weighing up to 25 pounds independently and up to 50 pounds with assistance.
- Ability to drive for up to two to three hours as needed to support Southern California offices and projects.
- Ability to perform computer-based work for prolonged periods, up to a full shift.
- Ability to perform occasional field support duties with reasonable accommodation, as applicable.
WHAT SUCCESS LOOKS LIKE
- Project and client files are complete, accurate, current, and easy to navigate.
- Project paperwork, timesheets, mileage logs, and expense reports are submitted accurately and on time.
- Assigned work is completed by deadline, and time-sensitive communications receive a prompt response.
- Project Managers receive regular updates on task status, completion, and unexpected delays.
- You work effectively with team members, clients, laboratories, vendors, and contractors while supporting the team’s safety, quality, productivity, and utilization goals.
